The file that stays after the leaver goes

Someone hands in their notice, works their month and leaves, and their file stays exactly where it was. Contracts, payroll records, application forms, references, timesheets and everything a disciplinary or a grievance generated: all of it keeps its clock running long after the person has gone, and the cabinets fill with the files of people who no longer work here.

Cyclone Archive takes those files off the floor: collected the next working day, barcoded, and stored on certified shelves in Dublin. When a reference request, a claim or an employee asking for their own file reaches your desk, you ask for that one file by name and it comes back the next working day.

How it works for an HR team

Tell us how many boxes and we collect the files from your office.

STEP 01

Tell us how many boxes

Type the number or say it over the phone. If the files are still in cabinets or lever arch folders, say so, and we will bring the boxes that suit them.

STEP 02

Collected the next working day

Call before 12 and we collect the next working day, Monday to Friday. Every box has its own barcode, traceable from your office to the shelf.

STEP 03

One file back, by name

Ask for a named employee file and it is pulled, barcoded out, and with you the next working day in a secure bag, then re-filed into the box it came from when you send it back.

Storage, retrieval, scanning, cataloguing and confidential destruction, bought with one call.

Document Storage

Personnel files collected, barcoded and stored on certified shelves, with any box or named file returned the next working day and the cabinets back out of the office.

Start with storage and add retrieval, scanning, cataloguing or confidential destruction whenever HR needs them.

Confidential Shredding

When a file's retention runs out, you say the word and it is shredded confidentially, with a certificate of destruction as proof for your own records.

What a practice needs to be sure of

Facility security

Employee files are held in a security-controlled Dublin warehouse protected by intruder and fire alarms and CCTV, under swipe-card access.

Confidentiality

Security-screened staff, EN 15713 certification from first collection to final shredding, and files returned in secure bags.

Traceability

Barcode tracking follows every box from your office to its exact shelf position, with a movement history for every box and every file that leaves one.

Files back when asked for

Next working day is the operating standard for collections, retrievals and deliveries, so a file needed for a Thursday meeting is asked for on Wednesday.

Waste facility and collection permits NWCPO-08-01122 and WFG-FG-15-0006.
