Next day collection
What a practice holds
Records that outlive the last appointment
A patient stops attending and the chart stays. Notes, referral letters, consent forms, test results and imaging have retention that runs on for years, and the documents fill the room that should be holding a treatment chair, a desk or a second clinician.
Cyclone Archive takes it: collected the next working day, barcoded, and stored on certified shelves in Dublin. When a patient returns, a solicitor writes, or a claim needs answering, you ask for that one file and it comes back the next working day.
The process
How it works for a practice
Tell us how many boxes and we arrange the collection around clinic hours.
Tell us how many boxes
Type the number or say it over the phone. If the charts are still in lever arch folders or filing cabinets, say so, and we will bring the boxes that suit them.
Collected the next working day
Call before 12 and we collect the next working day, Monday to Friday. Every box has its own barcode, traceable from the practice to the shelf.
Any single chart back the next working day
Ask for a single file by name and it is pulled, barcoded out, and with you the next working day in a secure bag, then re-filed into the box it came from when you send it back.

Document Storage

Start with storage and add retrieval, scanning, cataloguing or confidential destruction whenever the practice needs them.

Healthcare document scanning
The file turned into searchable pages that open at once, from any consulting room or site, for the chart several clinicians need in the same week.
Explore scanning →Cataloguing & Indexing
Every folder inside every box listed against its barcode, so you can find a box by name without opening a lid.
Explore cataloguing →Confidential Shredding
When retention runs out, you say the word and the files are shredded confidentially, with a certificate of destruction as proof. Imaging and film are destroyed the same way.
Explore shredding →Archive Boxes
Double-walled boxes built for years on a shelf, with the A4 sub-archive box sized to take a lever arch folder's contents.

What a practice needs to be sure of
Facility security
Patient files are held in a security-controlled Dublin warehouse protected by intruder and fire alarms and CCTV, under swipe-card access.
Confidentiality
Security-screened staff, EN 15713 certification from first collection to final shredding, and charts returned in secure bags.
Traceability
Barcode tracking follows every box from the practice to its exact shelf position, with a movement history for every box and every file that leaves one.
Charts back for clinic
Next working day is the operating standard for collections, retrievals and deliveries, so a chart wanted for Thursday clinic is asked for on Wednesday.
Waste facility and collection permits NWCPO-08-01122 and WFG-FG-15-0006.
